Accounts Payable Clerk (part-time)

JOB DESCRIPTION

POSITION TITLE: Accounts Payable Clerk (part-time)

REPORTING TO: Chief Financial Officer        

POSITION TITLE: No One                                                                

POSITION OBJECTIVE: Provides support for processing vendor and supplier invoices and payments by accurately and efficiently verifying inventory, shipments, and purchase orders. Provide administrative support to the Accounting Team.

DUTIES AND RESPONSIBILITIES:            

  • Match vendor invoices to inventory reports and purchase orders.
  • Posting and payment of all vendor invoices in the accounting system.
  • Maintain accounts payable reports, spreadsheets and files.
  • Track, research and document problem invoices and discrepancies to ensure they are resolved in a timely manner.
  • Provide quality customer service to vendors and staff.
  • Maintain and update vendor files.
  • Filing, scanning, copying records and invoices as needed.
  • Assist in monthly closing as needed.
  • Provide back-up support to the front desk reception as needed.
  • Attend all scheduled meetings and conduct oneself in a professional manner that is supportive of management.
  • Maintain a clean, organized, safe and secure work area.
  • Follow all safety policies and procedures.
  • Other duties as assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High school diploma or equivalent (GED) required.
  • Two-three years accounts payable or accounting experience required.
  • Working knowledge of accounting software packages, VIP (Vermont Information Processing) beverage industry experience preferred.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Knowledge of general accounting principles and procedures.
  • Proficient in MS Office (Word, Excel, and Outlook).
  • Accurate and detailed oriented.
  • Ability to multi-task and accomplish all assignments in a timely manner.    
  • Must be dependable and trustworthy.
  • Must be a team player and demonstrate positive work behaviors and attitude.
  • Must be professional in interactions with suppliers, customers and staff.

ADDITIONAL INFORMATION: This position requires a self-motivated, high energy individual who is able to work quickly, accurately and effectively with a sense of urgency about getting work done in an efficient manner while maintaining a high level of attention to detail. This is a part-time position (24 hours per week).

Typical work schedule is 8:00am-5:00pm on Monday, Wednesday, and Friday, but must be flexible regarding changes in work schedule as operations and customers need change.
