Accounting Administrative Coordinator

Weishaupt is amongst the world’s market leaders in burners, heating and condensing systems, solar technology, heat pumps and building management systems. Our office in Elgin, IL requires an   Accounting Admin Coordinator   Responsibilities: Process accounts payable invoices in ACCPAC/Sage EPR system; Process vendor credit notes and adjustments in accounts payable ACCPAC/Sage EPR System; Ensure all invoices and credit notes are coded to the right General Ledger account; Enter customer orders for burners, spare parts and service, preparing necessary files Issue all invoices to customers for burner, spare part orders and service, bill for additional freight charges, bill for Service Charges; Print packing slips for out-going shipments, prepare customs documentation if required, prepare waybills (if needed), arrange shipment pick-ups with different courier / freight companies; Assist customers if necessary with shipment information, shipment dates, etc. Order & issue purchase orders (“P.O.’s”) for products and materials to replenish general stock levels; Coordinate logistics regarding parts / products arriving on time / follow up on all P.O.’s; Match incoming receipts with P.O.’s and invoices for Accounts Payable processing; Inventory control management / year-end physical count and reconciliation; Warranty / responsible for all returns from customers & file claims with both, and suppliers; Ensure credits are being processed for warranty returns and items are put back in the proper locations; Visa Card charges & reconciliation; Responsible for daily administrative tasks as required   Qualifications and Skills Required: Minimum of at least five years’ experience in the Accounts Receivable or General Accounting Knowledge and skills of ACCPAC/SAGE ERP system. Knowledge and skills in Microsoft office. Good verbal and written communication skills.
