General Summary:

Reporting to the Director of Client Services, the Program Administrator is responsible for collecting and analyzing data related to Client Services program outcomes and based on that information, summarizing and reporting the status of contractual deliverables. This position requires advanced Microsoft Offices skills, excellent time/project management, and communication (verbal and written) skills.

 

Essential Duties and Responsibilities:

  • Understanding and in-depth knowledge of each Client Services contract, its funder reporting guide and quality assurance plan.
  • Performs data entry; creates spreadsheets and reports with graphical illustration that provide the “to-date” status of each Client Services contract.
  • Monitors corrective action plans from monthly quality assurance reviews, conducts follow-up and develop summary reports for Director.
  • Reviews submitted contractual reports and submits same to Director or designee for review and final approval for accuracy; copies all final reports to internal repositories including updated funder reporting guides and quality assurance plans.
  • Compiles relevant information to conduct performance, financial, and statistical analysis and forecast outcomes and develops summary reports for Director.
  • Participates and/or facilitate meetings, planning sessions, and briefings as necessary to monitor contractual goals and outcomes.
  • Collaborates with Manager of Quality and Director to achieve accurate and timely Axiom (Safer’s database) reports and/or to create customized reports as necessary.
  • Maintains and/or enhances internal communications across Client Services and the Agency.
  • Other duties/projects as assigned.

 

Required Knowledge, Skills and Abilities:

  • Must be able to write and communicate clearly and effectively present information in individual, small, and large group settings.
  • Must have advanced to expert skill level in MS Office programs (Word, Excel, PowerPoint, etc.) and previous successful experience working with databases.
  • Excellent organizational and practical problem-solving skills; ability to think strategically.
  • Strong service-oriented skills and flexibility to meet changing business needs.
  • Knowledge of non-profits, strongly desired.

Education and Experience:

  • Bachelor's degree or equivalent experience required.
  • Minimum of 3-years’ successful experience related to project management and data analysis.
  • Experience building collaborative working relationships with internal stakeholders and inter-dependencies.
