General Summary:

The Executive Project Manager will provide project management and coordination support to the President and CEO.

Essential Duties and Responsibilities:

Major Projects and Board of Directors

  • Regularly monitor progress on all major projects and ensure updates are requested and received from project owners according to plan and, delivered within the time proscribed. Execute well-planned special projects according to schedule on the President’s behalf.
  • Coordinate, aggregate, and organize opportunities and initiatives being developed and/or pursued by the President and CEO. Ensure the President and CEO connects with members of the Board, significant donors and strategic community partners on an ongoing basis.
  • Ensures that the President and CEO is engaged with the Board by maintaining a forward looking schedule of meetings and communication with the Board and Committee Chairs, that are both aligned with the timely needs of the organization, and support the maintenance of strong relationships with Board members.

Staff Leadership Team

  • Develop well-planned agendas for internal meetings and ensure their distribution ahead of time. Capture comprehensive notes of meetings involving the President & CEO so that the organization can track commitments made by, and commitments made to, the organization.
  • Work closely and effectively with the President and CEO to keep him informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated.

Meeting Management and Representation

  • Ensures that action items coming out of meetings (most especially with donors, foundations, and community partners) are documented, followed-up, and executed.
  • Appropriately represents the President and CEO in meetings with internal or external stakeholders. Make follow up phone calls on behalf of the President and CEO.

Required Knowledge, Skills and Abilities:

  • Demonstrated successful ability to determine key business issues and develop appropriate action plans from multi-disciplinary perspectives
  • Effective leadership, project management, and consulting skills
  • Excellent verbal and written communication skills and effective interpersonal skills
  • Good financial acumen to review and summarize financial reports
  • Must have advanced knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software, i.e., MSWord, Excel, Access, and PowerPoint
  • Ability to speak to groups and individuals with a wide variety of communication skills, interests, needs and conflicting views
  • Ability to develop and foster teamwork and motivate groups not bound by organizational authority
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands

Preferred Qualifications:

  • MBA, Master’s degree in public policy or public administration, preferred
  • 3-5 years’ (minimum) experience in research and project management
