Administrative Assistant/Typist Needed

The ideal candidate must be articulate, experienced, bright and resourceful to juggle and prioritize the ever-changing workload.​  
 

Key Responsibilities:

.         Heavy scheduling with control of personal and professional diary to manage appointments

·         Presentation editing using Word, PowerPoint and Excel

·         Manage and screen mail and e-mail correspondence as well as phone calls for executives; determine importance, urgency and priority level, take action as necessary

·         Book meetings and arrange catering for same

·         Develop and maintain appropriate document filing systems, with a focus on electronic file retention

·         Ensure confidentiality and discretion at all times both inside the office and out

·         Maintain availability by email and phone for urgent/​emergency after-hours needs

·         Create a flawless transition for executives between locations and manage all in a caring manner

 

Skills:

·         Self-starter able to work independently on projects without constant contact

·         Excellent Microsoft Office skills particularly Outlook and Word

·         Proficiency in PowerPoint and Excel required

·         Ability to shift between heavy executive contact/​workload when executives are on site to day-to-day projects when executives are overseas.​

·         Ability to thrive in entrepreneurial atmosphere where collaboration and teamwork are required     

·         Strength in areas of organization and problem-solving  to proactively time-manage busy executives (fixer)

·         Keen attention to detail with the ability to track and manage multiple projects at one time

·         Excellent judgment, discretion, and diplomacy.​  Ability to communicate with senior-level executives

·         Gracious, hospitable and welcoming

·         High level of energy and enthusiasm; positive presence in busy office

·         Flexibility to work overtime when the workload dictates to assure smooth experience for executives particularly when they are in the country

·         High school diploma’s Degree preferred

·         Minimum 2-3 years’ experience
