SUMMARY

The Registration Associate provides initial scheduling of behavioral health services. Scheduling, service matching, and referral is provided primarily by phone but also in person or on-line as is called for by job context.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Informs all clients that express a difficulty to pay full fee about our financial interview process and sliding fee scale service.
  • Requires all clients with managed care coverage to fax over their physician referral before scheduling in order to ensure insurance coverage.
  • Updates department-scheduling system on an on-going basis to ensure accuracy of appointments available. Blocks all appointments requested by therapists.
  • Completes required documentation as follows: Client registration, Intake Screening, Progress note, Financial registration and Scheduling within the agency computer system.
  • Communicates with the Presence Behavioral Health (PBH) Procare Centers finance department in order to have third party payers (insurance) verified and or set up payment arrangements for clients that are in collections.
  • Initiates procedure for following complaints and compliments, notifying direct manager in a timely manner.
  • Ensures telephone coverage is maintained according to standard operating procedure. Tracks all calls within the agency computer system for quality assurance purposes. Refers calls that require immediate clinical need to appropriate person.
  • Establishes and maintains a high standard of customer service to both internal and external customers.
  • Schedules client intake appointments, identifies assigned service providers, and informs clients of date, time, site phone number and location of initial appointment.
  • Obtains accurate and prompt insurance verification of all pre-registered clients by using existing eligibility inquiry system.
  • Screens clients in person and by telephone to obtain demographic information, presenting problem, referral source, and insurance information as is required to complete pre-registration.
  • Answers, screens, and categorizes callers and makes appropriate referrals based on the initial manner screening.

    Education and/or Experience

    High School diploma or GED from an accredited school required.

    Computer Skills

    Proficient in Microsoft Office software.
