The Benefits Specialist contributes to the success of the Chicago Zoological Society by effectively overseeing and performing certain aspects of the Society's benefits program to attract and retain a high-caliber workforce. Primary responsibility for employee wellness education, awareness, and promotions, leave of absence management and benefits administration.

The successful candidate will:
  • Responsible for leave of absence management. Assures compliance with state and federal regulations and Society leave policies. Serves as the main point of contact with the Society's leave of absence vendor. Works with Director, Compensation and Benefits ("Director") on non-standard leaves or special circumstances. Works with Senior Director, Human Resources on staff ADA accommodations requested and non-FMLA leaves that are not approved. Coordinates with Safety Department staff on workers' compensation leaves. Work with employees who file short and long-term disability claims, including Life Insurance Waivers of Premium, if applicable.
  • Provides support to assure compliance with FMLA, ADA, COBRA, and HIPAA and other regulations pertinent to benefits and leaves. Assists Director in the training of staff on compliance as requested.
  • Prepares for and conducts annual benefit enrollment process in conjunction with Director. Assures all forms are completed and processed with vendors and HRIS is accurately updated with necessary changes. Conducts new hire benefits orientation and enrollment for full-time and ACA-eligible staff. Generates and processes COBRA paperwork for terminating staff and for spouses and dependents who become ineligible.
  • Responsible for monthly premium remittances, from reconciling invoices to check mailing; processes COBRA remittances, updates budget expenses, and assists Director with annual renewals, contracts, and RFPs.
  • Manages Employee Assistance Program ("EAP") promotions and activities. Uses EAP as a resource for various wellness topics and staff training.
  • Provides support to the Director in administering certain day-to-day aspects of the Society's Group Life and Health Plan, Retirement Savings Plan, creating and updating job descriptions and physical requirements forms, completing salary surveys, conducting compensation evaluations and other benefits or compensation-related tasks.
  • Under general supervision, assists with projects related to the development and implementation of strategy, communications, and process improvement for employee benefits, compensation, wellness, leaves of absence, and other general HR initiatives.
  • Responsible for wellness promotions and activities. Investigates trends and alternatives to enhance wellness program offerings and makes recommendations to enhance and supplement the wellness program, initiatives, and communications with a focus on shaping healthy lifestyles, prevention, and claims cost containment. Reviews Society claims data to determine appropriate health topics to concentrate upcoming wellness efforts. Develops and implements annual wellness calendar. Develops the monthly Wellness Corner Newsletter.
  • Responsible for managing the employee discounts page on employee Intranet. Works with retailers, Chambers of Commerce, etc. to promote discounts that can be provided to CZS staff.
  • Performs other related duties as assigned or requested to assure successful achievement of the Society's objectives.

Position Requirements and Specifications
The requirements for this position include the following:
  • Associates Degree in Business, Human Resources, or other directly relevant field or equivalent of four years equivalent benefits experience required.
  • Three years of relevant experience with welfare and/or retirement benefits and administering leaves of absence.
  • Knowledge of relevant employment laws, including FMLA and ADA, and knowledge of HR functions, systems, and procedures.
  • Requires strong organizational and project management skills and a high level of attention to detail, completeness, and accuracy. Excellent follow-up/follow through skills essential.
  • Excellent customer service skills.
  • Strong decision-making and problem-solving ability required.
  • Resourcefulness and ability to work with little direct supervision.
  • Ability to take a proactive approach to responsibilities, can see the big picture and anticipate and resolve issues.
  • Strong communications, listening, and interpersonal skills. Ability to compose communications that are well written, grammatically correct and in standard business format. Good proofreading skills essential.
  • Ability to maintain confidentiality of privileged information.
  • Computer proficiency with Microsoft Word, Excel, Outlook and benefits/HRIS software.
  • Must be able to work effectively under pressure and meet critical deadlines.
  • Cultural competency; experience and/or ability to work and interact effectively with a diverse, multicultural audience.
  • A valid driver's license is required on date of hire. If you are an Illinois resident, you must possess a valid Illinois driver's license at the time of hire or must obtain one within 90 days of hire. A valid out-of-state driver's license is required at time of hire if the employee is an out-of-state resident.
The preferred qualifications include:
  • Prior experience with leave management software or employee/benefits self-service software a plus.
  • Prior HR compensation experience a plus.
  • Experience with Total Compensation Statements desirable.
  • Prior experience with Microsoft Project and PowerPoint a definite plus.
  • Experience with IBM SumTotal HRIS a plus.
  • Multilingual ability, Spanish fluency a plus.

This is a professional, salaried position that provides primary support to the Director of Compensation and Benefits. Incumbent is expected to gain a sound understanding of the Society's benefit plans and policies. Must be very service oriented, but also assertive and able to deal with strong personalities and situations tactfully. Must be able to maintain strong working relationships and represent the department effectively and in a highly professional manner. Occasional workweeks in excess of 40 hours are not unusual.
