  • The Special Events & Development Coordinator is responsible for planning, organizing and managing all aspects of special events for the Departments of External Affairs and Fund Development. This includes overseeing all stages of preparation, site coordination, procurement, audience development, production, volunteers, sponsorship and post-event evaluation. Nurtures donors and attendees, maintains donor database and composes acknowledgement letters.

 

  • The Coordinator also provides administrative support to the Vice President of External Affairs including high-level secretarial support. In addition to typing, filing, scheduling, performs duties such as financial record keeping, obtaining supplies, coordinating direct mailings, and working on special projects.

 

Essential Duties and Responsibilities:

 

Special Events Coordinator

  • Oversees planning, coordination and follow up on fundraising/special events hosted by the organization
  • Assists in the:

      - preparation of briefings for leadership and VIPs in the coordination of the client-donor database for fundraising events

      - assists in maintaining all fundraising for special events information in database

  • Coordinates corporate partnerships for special events
  • Monitors and updates the website and all social media venues regarding fundraisings/special events; ensures content is current
  • Ensures development records for fundraising events are complete, accurate, and up-to-date
  • Prepares and disseminates written acknowledgements for all donors in a timely manner
  • Assists with:

      - cultivation and solicitation meetings with prospects

      - communications, public relations and outreach efforts for special/fundraising events

 

Administrative Support

  • Provides administrative support to the Vice President of External Affairs including high-level secretarial support
  • Schedules and organizes activities such as meetings, travel, conferences and department activities for all members of the department
  • Prepares and designs general correspondence with responsibility for final accuracy and clarity of final copy 
  • Establishes, develops, maintains and updates library of trade journals and magazines
  • Maintains up-to-date donor base. Keeps accurate records of private contributions and timely thank you letters
  • Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization
  • Organizes and prioritizes large volumes of information and calls
  • Act as a liaison with other departments and outside agencies, including high-level staff such as CEO'S, Presidents, Senior Vice Presidents and Chiefs. Handles confidential and non-routine information
  • Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the vice president, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings

    Required Knowledge, Skills and Abilities:

  • Experience working in a Development Office or fundraising environment
  • Very resourceful with excellent organizational and interpersonal skills
  • Excellent time management and prioritization skills
  • Knowledge of secretarial, office administrative procedures, as well as a variety of computer software applications
  • Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work
  • Enjoys fast-paced, engaging environment with work that requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadline

Education and Experience:

  • Associate’s Degree or equivalent and related experience
  • At least two years’ experience in event planning, preferably in the non-profit sector
