General Summary: The Data Entry Operator is primarily responsible for ensuring that all serious incident reports have accurate information and is entered into the agency’s internal database. All warrants are entered into the Offender Tracking System (OTS) accurately and promptly. Ensure all residents movements are entered accurately and timely. Provide training for staff on the Offender Tracking System and support to Center staff.

 

JOB RESPONSIBILITIES:

  • Review all serious incident reports for accurate information prior to inputting on the internal database and in the time frame required. Perform updates accordingly. Maintain all incident reports in standardized system.
  • Review all warrants and emergency return forms for accuracy and completeness. ensuring warrants and emergency return forms have been properly executed
  • Reconcile negative movements twice a week and maintain paperwork.
  • Train new staff and provide technical assistance to staff who encounters problems with the Offender Tracking (OTS), ensure new staff obtains the proper profile for the Offender Tracking System. Reset staff password and prepare all required paperwork for approval.
  • Maintain documentation of current and previous users of the Offender Tracking System.
  • Generate and maintain accurate and errorless reports and submit to the Office Administrator and other administrative staff within Safer and IDOC monthly.
  • Collect and organize weekly program activities reports in specific formats and submit to IDOC and other administrative staff within Safer and in accordance to IDOC’s timeframe.
  • Update and prepare an Emergency Staff list quarterly to meet IDOC Administrative Directives and Center’s Local Procedure.
  • Update, prepare, submit, and maintain staff random drug list in accordance with IDOC’s request.
  • Update and maintain staff’s driver’s license list in accordance with Safer’s request.
  • Serve as a backup for Administrative Assistant, Clerical Support staff nd relieves the Switchboard Operator when required.

 

QUALIFICATIONS:

  • Proficiency in MS Office Suite, the Internet, and Axiom.
  • Excellent verbal and written communication skills; good command of the English language, oral and written.
  • Ability to type 45-50 wpm.

 

ACADEMIC BACKGROUND:

  • High School Diploma or GED required.
  • Associate’s degree or equivalent is a plus.
  • 3-4 years of related experience
