Project Manager, Core Programs

The Project Manager, Core Programs provides high level project management support to the Chief Operating Officer and provides basic administrative support to the Vice President of Community Corrections.

JOB DESCRIPTION:

  • Maintain the eOffice and reports 
  • Create reports from internal client database (AXIOM)
  • Create data collection tools for requesting program managers using Excel
  • Provide backup support to the Executive Administrative Assistant to the Chief Operating Officer
  • Provide basic administrative support to the Vice President, Community Corrections
  • Coordinate the scholarship program
  • Coordinate the use of the senior administration’s laptop and computer
  • Coordinate the maintenance of the 2nd floor network printer
  • Backup/Assist with the collection of Illinois Department of Employment Security (IDES) data and resulting processes, including the annual renewing of the agreement
  • Conduct research and internet searches as requested by the Chief Operating Officer
  • Coordinate the PACE Advisory Board meetings, including maintenance of the membership list, provide refreshments and disseminate minutes
  • Submit Workforce Strategies’ incentive reports to the Chief Operating Officer for signature and  then submitted them to the Accounting Department
  • Other duties as assigned which would include participation on various program committees as requested and editing documents as required.

QUALIFICATIONS:

  • Highly motivated self-starter who is goal oriented
  • Must be flexible, self-reliant, resourceful and outcome driven
  • Knowledge of secretarial and office administrative procedures.
  • Advanced knowledge of a variety of computer software applications in word processing, spreadsheets, databases, calendar and presentation software
  • High level of interpersonal skills to handle sensitive and confidential situations  with demonstrated poise, tact and diplomacy
  • Analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems and prioritize work 
  • Ability to work both independently and as a team in order to meet established deadlines.

ACADEMIC BACKGROUND:

  • Associates Degree (or above) or five years of experience in a highly responsible, equivalent administrative assistant’s position.
