SUMMARY
The Unit Secretary/Certified Nursing Assistant performs clerical support and patient service functions for the patient care unit. Performs environmental control, revenue reconciliation, inventory management, data entry processing, and troubleshooting issues. Assists in the delivery of direct nursing care as appropriate to meet the needs of the clinical area, unit and/or department, and according to established policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  1. Greets and directs guests, patients, and staff to appropriate location. Answers phones and patient call systems, directs patient calls and takes/delivers messages to the appropriate individual. Acts as the communication liaison with all other hospital departments to maintain and enhance patient throughput and departmental efficiency, conducive to patient care.
  2. Identifies the need for service recovery by responding to complaints using the service recovery model, according to the Service Excellence policy. Notifies Charge Nurse (CN), Assistant Patient Care Manager (APCM), or Patient Care Manager (PCM) as appropriate, to initiate resolution.
  3. Initiates related forms, requisitions, charge slips, and communication necessary to implement entered physician and provider orders and to ensure efficient operations by monitoring the Process Desktop, in parallel with the Registered Nurse (RN), for order completion/execution and by notifying RN if further action is needed.
  4. Prepares, assembles, and maintains charts and ensures patient charts are filed in the unit in the proper order based on approved Hospital guidelines.
  5. Assists the RN in patient room assignments by notifying the RN of available beds and collaborating to determine if patients need to be moved/ transferred to accommodate admissions and by ensuring room set up (i.e., bed preparedness, availability of IV poles, supplies, etc.)
  6. Facilitates transition to discharge in collaboration with Nursing, Social Work, and Case Management by securing post-discharge follow-up appointments and/or needed outpatient tests, providing education and prep materials as appropriate, and copying/preparing medical records to support a transition to the next level of care (i.e., skilled nursing facility, long-term care, home health care, etc.). Performs post-discharge calls to patients to ascertain their level of satisfaction with services. Documents information obtained from calls and report findings to CN, APCM, and/or PCM for resolution of any issues.
  7. Monitors and maintains an inventory of forms, supplies, and linen carts stock for the units (with exception of medications) according to established procedure. Receives and delivers supplies, orders, and equipment, and replenishes and organizes personal protective equipment (PPE) and other supplies to support patient care. Processes broken equipment according to department guidelines.
  8. Monitors the PAR Vision reports for discrepancies and collaborates with Materials Management on the PAR Excellence system for charge capture (i.e., ensuring items are appropriately charged for by unit staff). Performs charge audits for accuracy and ensures appropriate charge capture by reconciling charges entered with charge report from the order processing system.
  9. Performs scheduled environmental rounds on units to ensure all supply, nutrition, medication, utility rooms, etc. are properly maintained and/or cleaned utilizing Environmental check lists/logs; and supply rooms are compliant with regulatory specifications. Performs refrigerator and blanket warmer temperature assessment and completes documentation per regulatory guidelines.
  10. Provides patients with assistance in the activities of daily living including dressing, bathing, personal hygiene, positioning, eating, drinking, and tray set up. Performs back rubs and skin care and transports patients to and from other departments as needed. Answers call lights and renders assistance to patients if appropriate or notifies RN and assists nurse as necessary.
  11. Performs specific, technical patient care procedures such as administration of non-medicated enemas, application of heat and cold. Takes temperature, pulse, blood pressure, respiration, daily weights and dietary intake of assigned patients and records output fluids.
  12. Collects and records appropriate assessment data according to department procedures, ensuring inclusion in the patient's medical record. Reports changes in patient's condition to a registered nurse promptly.
  13. Provides clinical assistance in various procedures and treatments under direction of RN by performing CPR, performing post-mortem care, monitoring patient glucose using a glucometer and reporting results to RN, and attaching patient to cardiac monitor. Explains and performs procedures such as IV catheter and Foley catheter removal.
  14. Performs Safety Wellness Checks according to hospital defined procedure and ensures a safe environment by conducting environmental assessment/rounds, monitoring personal patient belongings, using wheelchairs, carts, and other equipment appropriately, identifying potential risks to patient safety in rooms, and removing and/or reporting risks. Documents patient behavior, interventions, and patient response on the observation log per policy.

    Education and/or Experience
    High school diploma or equivalent required.

    Computer Skills
    Must be proficient in Windows-style applications such as spreadsheet and word processing software. Knowledge of order processing systems and keyboard.

    Certificates, Licenses, Registrations
    Certified Nurse Assistant program certification and CPR certification required.
