Asthe Human Resources Assistant, you will serve as first point of contact for theHuman Resources Department as front-desk receptionist and front-office securityrepresenting the HR Department in handling a myriad of in-person, mail andphone contacts and routine and non-routine requests (Such as: Answer telephones, open mail, and makedecisions on appropriate handling of requests; identify needed information orresources and handle independently or funnel to appropriate staff; handleemployee mailings, special projects, and assist with a wide variety of HR projectsand events as needed.)
Makinguse of your prior HR/Administrative experience, you will create and maintain departmentfiles, background check forms, and other records in accordance with departmentprotocols. Assure files are kept currentand safeguarded in accordance with established procedures. Manage document retention and destruction perdepartmental policy. Other responsibilitiesinclude assist with data entry; assist the Director, Compensation and Benefitswith the annual review of the Society's Affirmative Action Plan's detailedcompensation analysis; assign and conduct appropriate follow through onprojects assigned to seasonals, volunteers, or temporary staff members; andassist with on-boarding and induction of new hires which involves preparingorientation materials and work with HRIS Analyst to maintain currentorientation information, assure orientation manual is up-to-date, and issue andauthorize employee ID badges (and also to distribute completed new hirepaperwork to appropriate staff within designated timeframe). Additional duties include regularly monitorand ensure an adequate inventory of all office and other operating supplies;serve as back-up to create, process, and track purchase orders for thedepartment; assist with a variety of special projects, tasks, mailings,employee communications, events, follow-up, and other related duties asassigned

Position Requirements and Specifications
The
requirements for the position include the following: Minimum Associates Degree
in Human Resources, Secretarial Science, Business Administration or other
directly relevant field or equivalent combination of training and experience
required. Minimum three years previous,
comparable Human Resources or administrative experience required. Able to maintain strict confidentiality of
privileged information. Ability to use or quickly learn standard office
equipment, including but not limited to calculator, copier, and scanner. Computer proficiency with word processing,
spreadsheet, and database software required.
Excellent customer service skills and telephone etiquette required. Strong
interpersonal, communication, and listening skills essential. Solid
organizational and time management skills.
Good decision-making and problem-solving skills. Ability to understand and carry out oral and
written instructions with little or no supervision. Strong proofreading skills and attention to
details and accuracy essential. Knowledge
of basic office procedures and ability to follow standard business formats
required. Ability to effectively manage
multiple priorities. Strong follow-up
and follow-through skills. Ability to
work effectively under pressure and meet critical deadlines. Cultural competency; experience and/or
ability to work and interact effectively with a diverse, multicultural
audience. Valid driver's license
required. Illinois residents must
possess a valid Illinois license within 90 days of hire. Valid out-of-state
license required for out-of-state residents.

The
desirable/preferred qualifications include the following: Experience with Microsoft Outlook, Word, and Excel
strongly preferred. Multilingual
ability, Spanish fluency highly desired.
