SUMMARY

The Administrative Assistant II, under general supervision, is responsible for coordinating and performing administrative, technical, and clerical duties necessary to insure smooth operation.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Performs all general secretarial duties on an executive level including preparing responses to routine correspondence, composing and typing of memos, letters, reports, contracts, minutes, etc, filing and transcription from written and dictated sources with accuracy and on a timely basis.

  • Schedules and attends meetings, makes all pertinent arrangements and prepare and distribute notices, agendas and minutes well in advance of meeting.

  • Answers, screens, and routes all incoming calls and/or take appropriate messages. Opens, sorts and prioritizes all incoming mail.

  • Establishes and maintains files in a neat and orderly fashion. Makes all corrections or additions to rosters, lists and schedules.

  • Maintains calendars, makes appointments and schedules meetings. Make travel arrangements for business/educational trips, meetings, and/or seminars.

    Education and/or Experience

    High School or equivalent required. Associate's degree in Secretarial Science or Minimum three years of high-level administration assistant experience required.

    Bachelor's degree preferred.

    Computer Skills

    Must have extensive experience with Windows-style applications, Word, Excel, and PowerPoint.

    Accurate typing speed of 70 wpm preferred.

    Certificates, Licenses, Registrations

    Valid driver's license may be required.
