Assistant Project Manager, Projects and Permits

The Assistant Project Manager Projects and Permits is responsible for assisting in Master Planning efforts, capital improvements projects, renovations, permitting and repairs of facilities. Primary Responsibilities include the following:


  • Provide project administrative support to the Administrative Service Manager, supervisors and managers on all aspects of their daily activities. Assist in coordinating project planning from conceptual design through construction and commissioning. Assist in arranging project meetings, distribute agendas, act as liaison with external contacts and project-related Society staff. Assist in defining project scope, development of design specifications, bid process, and overall scheduling.
  • Meet with appropriate Society staff to obtain appropriate input into design concepts, identify needs and requirements, and communicate information to be incorporated into design specifications and construction plans. Regularly inspect work to ensure compliance with all standards and specifications and design elements are completed in the field. Monitor and direct contractor operations to ensure safe conditions are maintained.
  • Manage the organization and maintenance of permits. Identify renewals or new permits required, track current permits, prepare permit applications, and coordinate with appropriate outside agencies.
  • Review contractor's project pay applications for accuracy, appropriate waivers, approved change orders, and certified payroll. Verify invoiced amounts reflect completed work to date.
  • Assist in grant writing, asset management, work orders and planning, and other related duties as assigned.


Position Requirements and Specifications
The requirements for this position include the following:


  • Associates Degree in Engineering, Construction Management or other directly related field, or equivalent combination of training and/or experience required.
  • Computer proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and AutoCAD required.
  • Flexibility and ability to perform effectively in a fast-paced environment.
  • Understanding of engineering, architectural, and other construction diagrams.
  • Excellent organizational and prioritization skills.
  • Strong communications skills, verbal and written.
  • Must be detail oriented with a focus on completeness and accuracy.
  • Ability to work with minimal supervision.
  • Ability to build strong rapport and working relationships.
  • Experience and/or ability to work and interact effectively with a diverse, multicultural audience.
  • Valid driver's license required. Illinois residents must possess a valid Illinois license within 90 days of hire. Valid out-of-state license required for out-of-state residents.
The desirable qualifications include the following:

  • Experience in project management or construction practices preferred.
  • Experience with Project Scheduler or Microsoft Project preferred.
  • Multilingual ability, Spanish fluency a plus.
