HRIS Analyst

The HRIS Analyst provides a wide array of HRIS/technological, and budgetary support at a professional level for the HR Department. As HRIS Analysts, you will have primary responsibility for HRIS and other HR database administration, reporting, complex analysis, and management, serve as payroll liaison, AAP preparation and support, other compliance reporting, and preparation, management, and assisting with control of the full-time payroll budget. You will work closely with internal departments to ensure accurate and timely coordination of information, records, projects and HR computer systems.

More specifically, the primary duties and responsibilities include the following:



  • Perform analysis of HRIS and/or Payroll data. Prepare periodic reports and analysis of employee data, demographic information, cost/budget information, etc. related to the workforce, as requested.


  • Work proactively with Director to automate and continuously improve HR processes, systems, and procedures. With Director identify, research, and recommend technology improvements and enhancements, additional resources, etc., to achieve maximum department efficiency and productivity. Assist with and/or coordinate and manage system enhancements and new system implementation and serve as primary administrator, responsible for ongoing administration, data integrity, and security.


  • Administer HRIS system and ensure system integrity and that data is current and accurate. Coordinate needed system updates and fixes. Perform regular and as-needed reporting, review, and cleansing of data (with proper paper documentation audit trail), to ensure system information is complete and accurate. Ensure effective and timely processes are followed and that paper and computer records are kept up-to-date. Make recommendations for related policies, procedures, and systems for approval by Director and facilitates implementation. Administer and maintain HRIS and other HR computer systems (ATS, Time & Attendance system, etc.). Prepare necessary reports for intra and interdepartmental distribution.


  • Prepare necessary, accurate data for annual AAP analyses and reporting. Initiate annual update process, solicit and contract with consultant, provide all needed data, and work with staff and consultants on Plan preparation. Responsible for assigned, required government recordkeeping and reporting. Prepare annual EEO-1 and VETS-100 report by required deadline. Assist in preparing other required reports and information as needed or requested. Assist in responding to charges or other legal issues as requested.


  • Develop and maintain Society full-time payroll budget and salary contingency in cooperation with Finance staff and Director of Compensation and Benefits. Provides information and reports as needed. Keep budget updated to reflect ongoing transactions and changes. Serve as liaison to and work closely with payroll staff with respect to salary/payroll issues, time off issues, budget and headcount/position control, deductions, etc.


  • Coordinate with HR staff as appropriate regarding overall compensation, benefits, and HR-related issues related to work performed. Play a primary role in electronic processing of annual benefits enrollment process, working closely with the Director, Compensation and Benefits including working together on planning, preparations, and execution. Oversee maintenance of all related information in Cyborg system. Prepare reports as requested or needed.


  • Work closely with Director on day-to-day HR Department issues and projects. Proactively identify issues and needs and assist in planning and implementation of improvements and implementation.


  • Handle special projects, conduct research, follow-up, prepare reports, etc. as directed.


  • Ensures day-to-day department processing and transactions are seamless, timely, and accurate and that a high level of intra-department and inter-department customer service and responsiveness are met.


  • Perform all necessary year-end close activities including, but not limited to calculation of all paid time off benefits for the subsequent year and communication of same to payroll to establish employee paid time off banks, pay out of unused holidays for hourly staff, and integration of paid time off conversion information into paid time off banks. Process salary increases for union and non-union staff.


  • Assume other related duties as needed to ensure achievement of department annual plan and operating goals.


Position Requirements and Specifications
The requirements for this position include the following:


  • Bachelors Degree in Human Resources, Business Administration, Psychology, Behavioral Science, Industrial Relations, or other directly relevant field or equivalent combination of training and/or experience required.

  • 7-10 years experience in HR Administration and high level of proficiency with HRIS, database, spreadsheet, and word processing software. Requires a very strong background and experience in HRIS/technology management and administration, exceptional technical abilities and experience, and a strong eye for detail and accuracy.

  • Requires experience in a responsible HR position and track record of progressive responsibilities with experience as a generalist in multiple areas of HR.

  • Very strong figure aptitude essential. Accounting/math coursework/training or equivalent experience required. Experience with/familiarity with payroll and knowledge of wage and hour laws required.

  • Position requires a solid working knowledge of relevant employment law, including, but not limited to FLSA, wage and hour laws, FMLA, EEO, and experience developing/updating Affirmative Action plans.

  • Strong interpersonal and communication skills, both verbal and written. Ability to deal tactfully and effectively with all levels of staff. Professional appearance and demeanor essential.

  • Strong problem-solving and decision-making skills. Position requires exceptional organizational and analytical skills. Solid follow through / follow-up ability. Must be able to prepare, manipulate and analyze detailed data and prepare it in a concise, coherent professional business format.

  • Must have an eye for detail and accuracy and very strong proofreading skills.

  • Must be able to work effectively under pressure and deal tactfully and effectively with difficult individuals and situations. Must be able to prioritize tasks, handle multiple projects, and meet critical deadlines.

  • Must be able to work with little or no supervision. Must be a dependable, trustworthy individual with an ability to maintain the confidentiality of privileged information.

  • Must be highly cooperative, proactive, persistent and helpful. Willing to volunteer, take initiative, and get involved. Must be highly flexible and willing to assume additional responsibilities.

  • Experience and/or ability to work and interact effectively with a diverse, multicultural audience.

  • Valid driver's license required. Illinois residents must possess a valid Illinois license within 90 days of hire. Valid out-of-state license required for out-of-state residents.

  • This is a salaried, exempt position and regular work weeks of 50+hours is not unusual. Individual will be expected to be present and visible at assigned HR/employee events. Some local travel may be required to attend conferences, training, or meetings.
The desirable/preferred qualifications include the following:


  • PHR or SPHR highly desirable.

  • Experience with Accero-Cyborg-SumTotal HRIS highly preferred. Experience with Microsoft Office Suite a definite plus. Experience with ATS (BrassRing) desirable.

  • Non-profit experience and/or work within a union environment a definite plus.

  • Budgeting experience a plus.

  • Multilingual ability, Spanish fluency a plus.
