This position contributes to the success of the Chicago Zoological Society by providing varied administrative and clerical support to the Human Resources Department ("HR") in support of the Society's overall goals to run an efficient HR operation and to support actions which promote an engaged workforce of excellence and an Institution of Choice.

As HR Clerk (Seasonal), you will work with the HR Assistant to: Create, set-up, and maintain employee personnel, benefits, background check reports, and other HR Department confidential files and records in accordance with HR protocols. Using your strong organizational skills, you will assure files are current, kept confidential, and safeguarded in accordance with established HR procedures; and, inventory, log, scan, and obtain approval of files to be moved to storage, and assist in identifying records to be destroyed, according to established guidelines. Making use of your strong interpersonal skills, you will provide back-up support for front-desk reception; answer telephones, and respond to internal and external routine and non-routine inquiries and requests based on knowledge of policies, protocols, and practices; and, direct incoming calls accordingly. Furthermore, you will open, sort and process department mail; schedule phone screens, interviews and new hire orientations; and, assist with special projects, handle mailings, employee communications, and other duties as assigned.

Position Requirements and Specifications
The requirements for this position include the following:


  • High school diploma or equivalent required.
  • Minimum two years previous, comparable administrative or HR experience required. Must be able to maintain strict confidentiality of highly privileged information.
  • Must be able to use or quickly learn standard office equipment, including typewriter, calculator, copier, scanner, computer, and software including word processing, database, and spreadsheet programs. Experience with Windows, Microsoft Outlook, Word, and Excel strongly required.
  • Good organizational skills required. Strong proofreading skills and attention to details required. Knowledge of basic office procedures and ability to follow established standard business formats, both hard copy and electronically.
  • Excellent telephone etiquette and effective listening skills required. Good interpersonal and communication skills are essential.
  • Ability to interact tactfully and effectively with diverse individuals and personalities and difficult individuals required. Must communicate with sensitivity and have a strong customer service approach. Must possess ability to establish and maintain effective working relationships with co-workers and employees in other departments.
  • Must be able to understand and carry out oral and written instructions with little or no supervision.
  • Experience and/or ability to work and interact effectively with a diverse, multicultural audience. Multilingual ability, Spanish fluency a plus.
