Job Summary
JOB OVERVIEW:
Position will develop, plan, coordinate and implement all aspects of the Records Management Program Office for Zurich in North America.
Includes traditional records management systems, practices and development of a program including emerging technologies.
JOB DUTIES:
Planning and administration of Zurich in North America Records Management Program.
Creation and maintenance of the programs policies and procedures.
Track all records from creation to final disposition.
Advise, research, analyze, and consult with legal in the development of mandated records and electronic management policies and procedures in accordance with Zurich Financial Services corporate policies and federal and state laws.
Stay current with archival, record management and related technologies.
Stay current on legislation and legal policy in regards to records.
Monitor collection and security of records and destruction of documents.
Oversee the development of guidelines and standards for record keeping, filing and classification of physical and electronic documents.
Work with IT to develop records and electronic management policies, procedures, and practices.
Provide lead on development and application of procedures for managing electronic records.
Manage outside records storage contract and coordinate with Procurement.
Manage relations with document storage vendor and records management consulting firms.
Responsible for onsite and offsite storage of all records.
Develop and conduct awareness programs and presentation to train employees in records and electronic management practices.
Assist in the preparation and administration of annual budgets that support the records management program.
Provide consulting records management services for all North America Zurich business units and support units.
Records Management expertise- Consultant level knowledge and skill, understands and applies industry and ARMA best practices.
Job Qualifications
MANDATORY JOB REQUIREMENTS:
Bachelors Degree required.
7 years or more Records Management experience working for a large corporation with multiple offices required.
Records management experience must include developing, planning and implementing Records Management Programs (electronic & paper).
Strong computer skills required (MS Word, Excel, PowerPoint, Lotus Notes, etc.).
PREFERRED JOB REQUIREMENTS:
Experience with FileNet & Iron Mountain preferred.
Certified Records Management preferred.
ARMA Membership preferred.
Excellent oral and written communication skills.
Advanced organizational skills.
Must be a team player with internal external customers.
Strong negotiation skills
Ability to multi-task and work in a fast-paced work environment.
