Executive Assistant
Title: Executive Assistant
Location: IL-Schaumburg
We are looking for an energetic individual to join an exciting Communications Team. The Administrative Assistant must have a team oriented attitude, be resourceful and able to handle multiple administrative tasks under many different circumstances. Strong communication skills and the ability to communicate comfortably with high-level executives in all forms (by phone, email, and in-person) are necessary to succeed in this position. This is an opportunity for a talented individual to learn about many different aspects of corporate communications and growth opportunities are available after a two-three year time frame.
Responsibilities:
- Maintain calendars for remote team members who travel frequently.
-Plan and schedule onsite and offsite meetings. This includes securing equipment, handling catering, booking hotel and travek and handling transportation.
-Assist or lead Schaumburg-area events like United Way campaign, holiday parties, etc.
- Manage all travel arrangements for 3 VP's (including travel plans, hotels, car service, etc.)
- Set-up internal team and client conference calls as needed
- Prepare/submit expense reports (all on line)
- Prepare/submit invoices. Manage and track all departmental expenses against our annual operating budget.
- Answer incoming communications calls and covering phone lines for the public relations team.
- Assist with development and enhancement of powerpoint presentations for major internal and external meetings.
- Maintain a professional, client-services approach to communicating with high level clients, external media reporters, internal senior management and all company personnel
- If needed, assist with other daily communication tasks of team.
- Other miscellaneous Administrative duties as required
- Bachelors degree and 5-10 years Administrative experience
- Excellent communication skills with all levels
- Ability to proactively support the needs of top-level Executives
- Ability to prioritize and perform multiple tasks and respond appropriately to changes in the department
- Excellent written, verbal and interpersonal communication skills within a fast-paced team in a deadline-driven environment
- A superb level of organization, focus, and grace under pressure
- Proficient in MS Office applications (Word, Excel, Outlook, PowerPoint)
