QUALIFICATIONS: Required: Associate's degree or equivalent relevant work experience; Demonstrated proficiency with MS Office (Outlook PowerPoint, Excel, Word); Minimum of 3-5 years experience in administrative support role; Strong organizational and communication skills; Team player. Desired: Bachelor Degree.
ESSENTIAL FUNCTIONS: The Administrative Specialist will provide general administrative support to the Director. Responsibilities: Subcommittee Support: Confirm committee members' attendance at quarterly subcommittee meetings; Prepare and distribute agenda books and other meeting material; Prepare PowerPoint presentations; Coordinate manager selection conference calls as needed; Arrange catering needs for meetings; Type correspondence memos to committee members. Information management: Maintain Subcommittee members contact information; Coordinate the creation and maintenance of a research library; Maintain filing system of managers/directors reports and legal documents. Administrative Support: Provide proactive calendar management support; Make travel and transportation plans and assist in expense report preparation; Receive, screen and distribute all incoming correspondence and other mail; Maintain sufficient inventory of office supplies, agenda book mailing material, and printed forms; Manage telephone operations: answer, screen and direct calls. Other Functions: Provide reception desk backup support as needed; Provide technical support as needed; Assist Directors and department staff in ad-hoc projects. AA/EOE
